FROM KEITH ’S DESK

Having been associated with Stanford in some fashion for over two decades I believe in the mission, the people, and the good work that is manifested everyday. The work OSE does directly supports the mission by providing a variety of recruiting services, tools and programs that leverage our limited resources, as well those of hundreds of Stanford hiring managers. Here is a partial list of OSE offerings:

Staff Recruitment – The Full Life Cycle recruiting program provides state-of-the art candidate generation for specific openings through “DNA” searches (internet sourcing and research), professional organization networking, and demographically based job posting. The Basic Plus recruiting program provides hiring managers with a pool of candidates sourced though internal and external databases as well as advertising assistance. The Job Family Recruitment program generates hundreds of job category specific candidates (finance, information technology, administrative, etc.) for current and future openings.

trovixRecruiting Tools – OSC provides tools to help hiring mangers and their HRMs to recruit locally. In the past year, OSE has released a one-page Benefits Flyer specifically designed to highlight Stanford offerings to assist in recruitment, and the Trovix Easy Reference Guide – a durable one page “keep by your computer” aid that details the essential instructions and commands needed to effectively use Trovix. In the near future OSE will release a Talent Acquisition Services brochure – a guide to help hiring managers understand and select recruiting services, and Hiring Made Easy – a compilation of short, topic specific aids designed to explain and simplify execution of routine recruiting and hiring tasks.

buttonRecruiting Technology – Recently, we introduced a new Stanford jobs web site with easy access to information that promotes Stanford as an employer of choice. In addition to Trovix, the new applicant tracking system, the site includes an “employees only” section with information about furthering your Stanford career, SmartPost, which enables OSE recruiters to perform web site research related to job requirements, and post positions on over 5,000 internet sites, including many devoted to diversity. Under construction (but available now) is the new OSE web site which will offer the HR community and hiring managers information and tips about Trovix, recruiting, and hiring at Stanford.

Consulting Services – OSE provides guidance on the acquisition and use of external vendors including executive search firms, staffing agencies, contractors and consultants. On a selective basis, we help address issues related to organizational change, workforce analysis and planning, and designing talent management programs.

careerOn Campus Job Fair, January 25, 2007 – This will be a special event providing a great opportunity to talk to candidates face-to-face, and hopefully fill many positions as we begin the new year!

turkey’Tis the Season … to eat, be merry, and help others

This time of year I often find myself rushing around town (and Web sites) to buy friends and family the most perfect of gifts, composing greeting cards that reflect on the past year’s milestones, standing in painfully-long lines at the post office, decorating our home with holiday cheer, hosting and attending various holiday parties and gatherings with colleagues, friends, neighbors and family, making travel arrangements, baking and cooking an abundance of healthy and not-so-healthy food. And then, I make a new years resolution that NEXT year I promise to do more to help spread some holiday cheer to those in our community who are less fortunate.

Perhaps volunteering during the holidays has crossed your mind as well, but you told yourself you just couldn’t make the time or didn’t know how to start or where to contribute. Whatever your reasons, I encourage you to join me this year in finding a way to help someone in need. I got inspired by the kind, thoughtful and charitable holiday traditions that some of our HR colleagues shared with me. I hope they inspire you into action this season
too!

Esti Hall
– On the Saturday before Thanksgiving Day, our church serves a Thanksgiving dinner and opens its doors to the public.

Vanessa Alcantar –
Every year, all of my relatives and friends clean out our closets and bring over items to my Mom’s house. She then sorts and boxes everything – from food to clothing – and donates it to the Ecumenical Hunger Program in East Palo Alto. The program then gives all items away at no charge to those in need. If interested, you can make your donations directly to them at 1836 Bay Road, Suite B, East Palo Alto, or call them at 323-7781.

Laurie Jarocki – Every year I chip in with my sister-in-law who adopts a family through Tri-City Volunteers or the Salvation Army. We are assigned a family and start helping them on Thanksgiving Day by giving them a turkey. Then at Christmas, we help purchase a tree, food and gifts for the entirefamily.

meghanMeghan Chrisman – I do something different every year, from Second Harvest where you can help sort and serve food, to Adopt a Family, to collecting clothes I never wear anymore to give to Innvision (a women’s and children’s shelter) or to Career Closet, which takes suits and professional wear for low income women.

Ann Allison-Marsh – I spread my volunteer work throughout the year and among several organizations, all supporting children’s programs.  Most of my work is either fundraising or coaching. Currently my focus is on fundraising for the high school Forensics team (speech and debate) and various youth soccer programs. I am the eScrip coordinator for the Forensics team and vice-president of Friends of Forensics. I just finished coaching my U12 girls’ soccer team, and have transitioned to fundraising for the high school boys’ soccer team.

Thank You Benefits Staff

Open enrollment is an annual challenge for those who work in benefits.  And, a successful open enrollment is defined by where one sits. From where I sit, I think we had a very successful open enrollment given our special challenges.

We had to communicate the elimination of three medical plans and explain two new ones. One of the plans - the High Deductible PPO - is on the cutting edge of health plan options and took on a more extensive education effort with its Health Savings Account compatibility.  We introduced MCAP - the Medical Contribution Assistance Plan - to help pay the monthly medical costs of our lower paid employees.

We held over 25 employee/retiree meetings across the campus, four special evening enrollment labs for our retirees, and four health fairs where our medical partner (Vaden Health Center) administered almost 2,000 doses of flu shots. We also took this opportunity to test new ways to communicate our benefits program.  We delivered six Web-casts and recorded an employee session, posting it on the web and making it available to our employees/retirees and their families 24/7.

I want to thank the entire benefits team for all their hard work that made this year a success.  In particular, I want to recognize the efforts of Elaine Chiu, Open Enrollment Project Manager, Robbie DeBastiani for the communications and benefits fairs, and the overall direction provided by our new Health and Welfare Manager, Charles Lee.  And, of course, many thanks to Les Schlaegel, Director of Benefits, who, among his many other talents, has become an expert at driving a golf cart to get to all of these benefits meetings!

Enrollment Results

With close to 13,000 faculty and staff eligible for benefits, 70% made changes or updated information during the open enrollment period. Of those, 93% made elections online, 7% by phone. Speaking of phone, our Service Center took 5,882 calls during the open enrollment period from both active employees and retirees, who have their open enrollment period at the same time. During the last three days of open enrollment, the Service Center spoke to 2,382 callers.
